Will you sign a business associate agreement?

Yes. Any provider touching your systems in a way that could expose patient information should be signing one, and we do. If a prospective provider hesitates at that question, it is a useful thing to have learned early.

Our imaging software only runs on an old version of Windows. What do we do?

You almost certainly keep it, and we make it safe to keep. The machine gets separated from the rest of the network so it cannot be reached from a compromised email or a front desk workstation, and it gets monitored. Telling a practice to replace a working panoramic unit over a software version is advice that ignores what the equipment costs.

Are we too small for HIPAA to be a real concern?

No. Enforcement action against practices of exactly this size is routine, and the more common trigger is a lost laptop or a ransomware incident rather than anything exotic. The obligations are the same; what changes is that you have nobody in-house whose job it is to meet them.

Do you work with our practice management vendor?

Yes, whichever one you run. Coordinating with the software vendor is routine, including the arguments about whether a slow screen is their problem or the network's.
